How Important is My Participation in Family Portrait Month?

Every $240 donation to Operation Smile makes it possible for another surgery to be performed by Operation Smile's volunteers. To date, PPA Charities' donations to Operation Smile have totaled over $150,000. That translates into hundreds of operations made possible because photographers did what they do best: create images for families to treasure.

Think of all the smiles these portraits made possible--in your hometown and throughout the world--and you'll know how important your efforts are!

In developing Family Portrait Month as a high-profile charitable marketing promotion, PPA Charities' leadership has intentionally left it up to individual studios to decide how they wish to market and raise funds to benefit Operation Smile.

How can I participate?

Any PPA-member studio can participate in this promotion if they:

  • Make a minimum donation of $25 to PPA Charities (an annual donation, payable each year that you choose to participate in the promotion).
  • Contribute a minimum donation of $25 per session made during the national Family Portrait Month promotion.

What are the requirements?

The only requirement is those minimum $25 donations to PPA Charities for each family portrait session occurring during October. Otherwise, you are free to decide how much to contribute--an entire session fee, part of a session fee, a percentage of each sale, or a specified amount of $25 or more. If you choose, you can even accept donations for Operation Smile year-round, not just in October.

What information or help will I get?

Once registered as a participant (and your $25 minimum donation to PPA Charities is processed), you will receive helpful information and ideas, and your own information will be listed in several places.

  • You will receive an e-mail that provides password-protected access to marketing tips, written resources, and downloads. On this site you will also find real-world information on how different photographers have used Family Portrait Month in their own marketing programs, and other ways in which they have contributed to Operation Smile.These online resources are for your inspiration and use.
  • We ask that you check this site often to learn about additional promotional ideas and news items about PPA Charities, Family Portrait Month, and Operation Fee. By subscribing to our feed, you will be notified whenever no items are posted. To do so, click here.
  • You also will receive PPA Charities  and Family Portrait Month news through a periodic PPACH newsletter and email blasts.

How do I send in Operation Smile donations?
Your Family Portrait Month clients should make all payments directly to your business. Once each week, calculate how much you wish to contribute from each client's session. Write a check for that week's total contribution, making it payable to PPA Charities. PPA Charities will compile the funds for Operation Smile. Send it to:

    "Smile Cards" Raise Funds and Gain Attention

    Smile_card_v_2Want a basic year-round fundraiser that will not only benefit Operation Smile, but also raise community awareness of your studio?  Try selling "Smile Cards." 

    Smile Cards are folded stationary notes with a favorite image from a client's session on the outside, blank on
    the inside, and with your studio's logo and the Operation Smile logo on the back. Simply sell the cards in a pack
    of 10 for a predetermined price, and donate all proceeds to Operation Smile through the Family Portrait Month campaign. Dallas photographer Angela Weedon, the originator of the Smile Card concept, sells them for $15 per pack, and her studio generates over $5,000 per year on this fundraiser alone! 

    Angie's studio prints the cards to keep cost down, and limits clients' purchases to 3 packs each. The back of the card features the Operation Smile logo and this statement: Sales of this card benefit Operation Smile (operationsmile.org)

    Terry Farmer Partners with Local Dentists

    Illinois photographer Terry Farmer became the top contributor in the 2007 Family Portrait Month by creating a win-win marketing partnership with local dentists that reaped rewards for his family portrait business.

    Laura Novak Creates Smiles Through Halloween Fun

    Delaware photographer Laura Novak used her considerable media savvy to market Family Portrait Month. Laura used a studio newsletter and emails to get the word out. She also sent a press release to which a network person responded by suggesting that she try for a listing in USA Today's weekend edition website. By following up on this lead, Laura secured a listing under "Make A Difference Day."


    In addition to raising funds for Operation Smile, Laura used the promotion to introduce her upscale studio to consumers she might not see during the regular course of business. She added an intriguing twist to the month-long promotion by offering an October 31 Halloween shoot for only $75, which included 5-8 online proofs of each child in costume, from which parents could purchased finished prints. The fee went to Operation Smile and represented one-third of the studio's eventual donation.

    To publicize this special event, Laura posted a flyer at a luncheonette and also added it to her Internet blog. To facilitate fulfillment of this special session, clients ordered their images online. Later her blog featured some of the charming images the promotion produced.

    Charlene McKay Uses
    Family Portrait Month to Introduce
    Her New Studio

    When veteran photographer Charlene McKay opened her new studio in El Dorado Hills, California in 2005, she decided to use Family Portrait Month to kick off her most aggressive promotion of the year. She began by creating 10,000 4x9 postcards that a local service delivered to each home in her small town for only 10 cents per home. She also participated in two different local business fairs and distributed the cards there as well. The promotional offer Charlene chose was: "Make any donation of $25 or more to PPA Charities' Operation Smile and receive a free session and a 16x20 print." Her plan was to upsell the 16x20 to a larger canvas and sell additional wall prints, gift portraits and frames. 

    Charlene photographed 28 sessions for the month and had many clients donate more than the minimum $25, and only two did not upgrade. Most spent over $1,000, and her highest sale was $4,000. Best of all, the promotion allowed her to spread the word about her new business through a very low financial commitment that didn't cheapen her work. "By supporting a charity, it provided a reason for me to offer such a low price for a very valuable product," she said. "I think Operation Smile is a perfect fit as a charitable partner for photographers."

     

    Sandy Puc' Gets an Early Start Through Her Studio Newsletter

    Colorado photographer Sandy Puc' utilized early promotion of Family Portrait Month in her newsletters to generate community awareness. This motivated her clients to get in for their holiday portraits. She donated a portion of her session fees during the month of October.

    Image Copyright Sara Frances Last October, nearly 350 members of Professional Photographers of America (PPA) in 41 states and the District of Columbia participated in PPA Charities' Family Portrait Month, a, national fundraising effort to benefit Operation Smile, making possible a donation of $50,635 to the charitable partner of PPA Charities. This donation raises the amount that PPA Charities has contributed to children's charities to more than $150,000.

    On January 10, during PPA's Imaging USA convention in Phoenix, Arizona, PPA Charities presented the 2008 donation to Operation Smile at Alice Cooperstown. The check was received by Beth Marshall, Operation Smile Senior Executive Advisor for Latin America and Caribbean, and Carmit Bachar, Operation Smile Celebrity Smile Ambassador. Bachar, an American singer and dancer, is best known as a member of the pop group, The Pussycat Dolls. Ms. Bachar, who was born with a cleft lip and cleft palate, participated on an Operation Smile medical mission to Santa Cruz, Bolivia.

    PPA Charities' over $50,000 donation occurred during a time when many were toning down their charitable donations. In fact, during a four-year partnership, PPA Charities has raised more than $150,000 for Operation Smile...translating into helping hundreds of children and young adults.

    PPA photographer Graham Wilson of Colorado was the largest donor to Operation Smile through the 2008 Family Portrait Month campaign, raising $10,000. By generating the largest donation during Family Portrait Month, Wilson won the chance to photograph an upcoming Operation Smile international medical mission.

    When he decided in September to take part in the 2007 Operation Smile campaign, especially after the studio's busiest summer ever, Terry Farmer was committing the staff to less than a month of intense preparation.  But by adding some novel approaches, including a partnership with area dentists, Terry Farmer Photography, Inc., raised more than $8,000 for PPA Charities in 2007. 

    Beyond the Operation Smile donations, these successful strategies can be used to increase a studio's visibility during other promotions.

    Critical First Contacts

    Terry suggests determining first what groups within your community are logical partners for your studio fund raiser or event and make a meaningful contact.  

    "The concept of Operation Smile lent itself to partnering in the community," explains Terry, president of the Springfield, Illinois, studio.  "Photographers record the faces of children and families, so partnering with dentists was a logical alliance.  This was a reciprocal project in that partnering dentists received community-wide recognition.     

    Terry contacted current officers of the dental society serving eight Central Illinois counties.  They were enthusiastic about contacts to their individual members. 

    Terry described PPA Charities, Operation Smile and  Family Portrait Month in a letter to society members.  For a minimum donation of $240, the cost of one surgery, Terry invited each dentist to partner in the fundraising.  He also explained that a donation to Operation Smile would be contributed for each family portrait session during October.

    At about the same time the studio mailed contact letters to approximately 100 member dentists, Terry also featured Operation Smile in the studio's fall newsletter delivered to more than 4,000 the homes.  Through this cross marketing step, studio customers who also visited a partner dentist were already aware of the fund-raising campaign. 

    Prepare a Partner Package

    "Individuals or groups will be more likely to buy in to your partnering proposal if they understand clearly defined benefits," Terry recommends.  "Make it easy for your prospective partners to say 'yes'."

    Dentists partnering in Operation Smile received the following, all of which were spelled out in Terry's contact letter:

    • Office display for their reception area, including an 11 x 14 counter card, a 14 x 16 poster with their office or individual name prominently featured and call-to-action counter cards for their patients;
    • Complimentary family portrait session and 8x10 print gift certificates for distribution to their long-term patients, family or friends; and
    • Recognition in news releases to area media outlets.

    Spread the Word

    Terry stresses, "As photographers, our businesses depend on image, so we don't want to skimp when preparing the components of our ad campaigns.  Every piece has to look great!"          

    Building on prepared materials sent to the studio, staff writers and graphic artists created unique and unified wording and design for all customized components of the studio's Operation Smile campaign.  The results were classy, consistent, eye catching and easily read.        

    While customizing Operation Smile pieces, Terry also insisted on easily identifiable ties to the studio.  In addition to using the logo, the studio tag line, "Celebrate the best times with Terry Farmer Photography" was adapted for the Operation Smile campaign.  It became "Celebrate the best times and Help Us Create a Child's Smile." 

    Incentives to book a family portrait session were included on a postcard sent to the studio mailing list.  These incentives included significant savings off the studio's normal session fee and the promise of contributing a donation to Operation Smile in the name of each family booking a session. 

    Even during the first year of this campaign, the response was universally enthusiastic.  Twenty-three dentists, about a quarter of those contacted, partnered with the studio.  Their patients who received certificates were delighted, and studio staff have heard positive comments from people throughout the community who have recognized the studio's fund-raising efforts.

    Recognize Your Partners

    "My parents always taught me to thank those who work with you" Terry says.  "A significant challenge for every fund-raiser or event is how to thank your partners publicly and repeatedly."

    Terry made sure that the studio's dentists partners, and their patients, read "thank you" often.

    Small thank-you cards, designed, of course, with the campaign's theme, were custom printed especially for mailing to the dental partners. 

    Additionally, the partner dentists were recognized in

    • the on-line newsletter of the Greater Springfield Chamber of Commerce;
    • a one-page ad in Springfield Scene magazine;
    • the State Journal-Register daily newspaper; and
    • the spring edition of the studio newsletter.

    The newspaper recognition exemplified the creative persistence that organizers may need.  If a newspaper sometimes hesitates printing news releases, even those related to worthwhile causes, if there is a marketing component associated with the release.

    What worked was a letter to the editor targeted to the weekly "Good Deeds" section. 

    Plan to Expand

    "Even when a studio project is a raging success, and Operation Smile certainly falls into that category, I'm thinking about how to improve.  Building a campaign such as this benefits the cause, raises the visibility of your campaign partners and increases your bottom line," Terry concludes.

    With only a year of experience using this approach to Operation Smile, there are options to expand.  Terry anticipates extending the professional contacts to include the local medical school and area plastic surgeons.  By planning further in advance, the studio will also incorporate campaign components on the web site and blog.

    For the 2007 campaign, however, Terry Farmer Photography, Inc., is delighted in the knowledge that the lives of more than 33 children will be changed forever, and they will smile.

    During October, participating member studios of Professional Photographers of America (PPA) from across the country are joining together for "Family Portrait Month, a national fund-raising effort to benefit Operation Smile, which helps children who suffer with cleft lips, cleft palates and other facial deformities.

    These professional photographers have pledged to contribute a portion of each October Family Portrait Month sale to PPA Charities, which has chosen Operation Smile as its charitable partner.            

    October is an ideal time for families to have their portraits created, because the holiday season is just around the corner. Few gifts are appreciated as much as portraits of family members.            

    When families participate in Family Portrait Month, they will change the lives of children who would otherwise face a lifetime of pain and rejection. Each year, Operation Smile, a private, not-for-profit organization with more than 5,000 volunteer surgeons, anesthesiologists, nurses and other specialized health care professionals, performs free surgeries on thousands of needy children. In as little as 45 minutes and for a cost of approximately $240, one cleft lip surgery can change a child's life forever. Each year, more than 100,000 children are born with a facial deformity in Operation Smile's 23 mission countries. Tens of thousands remain untreated.
